Setting Up Professional Email on Your Own Domain in India

A customer trusts an invoice from [email protected] more than one from [email protected] — and it's not close. Professional email on your own domain is one of the cheapest credibility upgrades a small business can make, and on Hoststack it's included free with hosting. Here's how to set it up properly, including the DNS records people usually get wrong.
What you need before starting
- A registered domain name (yours or transferred to Hoststack)
- An active Hoststack hosting plan (mailboxes are included, no extra charge)
- Access to your domain's DNS zone (in DirectAdmin/cPanel if the domain is on Hoststack)
Step-by-Step Setup

Create your first mailbox
In your control panel, go to Email → Email Accounts and click Create. Type the part before @ (e.g. "hello" or "accounts") and set a strong password. Set a mailbox quota — 1–2GB is plenty for most solo founders; scale up if you'll be attaching large files often.

Confirm your MX records point to Hoststack
If your domain's nameservers are already on Hoststack, MX records are configured automatically. If you're using external DNS (e.g. Cloudflare), add an MX record pointing to your server hostname with priority 10 — find the exact value under Email → MX Records in your panel.

Add SPF and DKIM records
These two records are why business emails land in inboxes instead of spam. Your panel generates the exact TXT record values under Email → DNS/DKIM — copy them into your DNS zone exactly as shown. Skipping this step is the single biggest reason cold outreach or invoice emails end up in a customer's spam folder.

Add a DMARC record (optional but recommended)
Add a TXT record at
_dmarc.yourdomain.com with value v=DMARC1; p=none; rua=mailto:[email protected] to start. This tells receiving mail servers how to treat messages that fail SPF/DKIM and gives you visibility into spoofing attempts.5
Connect webmail or a desktop/mobile client
Access webmail directly at yourdomain.com/webmail, or configure Outlook/Apple Mail/Gmail app using IMAP with the incoming/outgoing server details from your panel's Email → Connect Devices page. IMAP keeps mail synced across devices; avoid POP3 unless you specifically need local-only storage.

Set up forwarders and catch-all (if needed)
Add forwarders for common addresses like sales@ or support@ that route to a shared inbox, and consider a catch-all address so typo'd emails to your domain aren't silently dropped.

You can keep using the Gmail app you're used to while sending/receiving as [email protected]:
- 1. In Gmail, go to Settings → Accounts → Send mail as
- 2. Add your domain address and enter the SMTP details from your Hoststack panel
- 3. In Check mail from other accounts, add the same address as a POP/IMAP source
- 4. Set the new address as default if you want all outgoing mail to use it

Common mistakes to avoid
- • Sending bulk marketing email from a personal mailbox instead of a dedicated transactional service — this tanks your domain's sender reputation fast.
- • Forgetting to add SPF/DKIM when moving DNS to a third party like Cloudflare — mail silently starts failing delivery.
- • Using the same weak password across mailbox and hosting panel logins.
